This Privacy Notice explains how MyFreebies handles personal data. It should be read with the Terms and Conditions.
1. Who controls your data
Twelve12 Limited, the operator of MyFreebies, is the controller for personal data processed through the website. This means we decide why and how account, listing, location, messaging, report and safety data is used.
Twelve12 Limited is registered in England and Wales under company number 15070672.
For privacy questions or rights requests, contact info@myfreebies.uk. For urgent safety concerns about a listing or user, use the report tools in the service where available.
2. Personal data we collect
Account data includes your display name, email address, authentication provider, account status, role, creation date and acceptance of the current Terms and Privacy Notice.
Listing data includes item descriptions, photos, category, condition, town, postcode area, chosen public location mode, public map position, listing status, view/report counts and dates.
Private location data includes the exact coordinate and optional postcode used to create a listing. This is stored separately from the public listing record.
Messaging and moderation data includes private conversation messages, reports, reasons, review status and admin actions. Technical data may include IP address, device, browser, logs, error records and security signals.
3. How location privacy works
Exact coordinates are not stored on public listing documents. They are stored in a separate private location record that is readable only by the listing owner and authorised admin systems.
Public listing pages show the town centre, an approximate location, or an exact public pin depending on the user's selected location mode. Exact public pins are shown only where the lister explicitly chooses that option.
4. Why we use personal data
We use personal data to create and secure accounts, publish free listings, enable private messages, show local search and map results, save listings, process reports, moderate abuse, prevent scams and operate the service.
We also use limited technical data to protect the platform, diagnose faults, improve performance, comply with legal duties and respond to lawful requests.
5. Lawful bases
We use contract as a lawful basis where data is needed to provide accounts, listings, messages and core marketplace tools under the Terms.
We use legitimate interests to keep the service secure, prevent fraud and abuse, moderate reports, improve reliability and understand how the service is used, provided those interests are not overridden by your rights.
We use legal obligation where we need to keep or share data to comply with law. We use consent where optional cookies, marketing or non-essential features require it.
6. Who can see your data
Public visitors can see public listing information, photos, chosen public location mode and chosen public map position. They cannot see your email address or private exact coordinate.
Conversation participants can read the messages in their conversation. Other users cannot read those messages. Admin access to user data is restricted and used only where needed for safety, moderation, legal or operational reasons.
We use service providers such as Firebase/Google Cloud for authentication, hosting, Firestore, storage, functions and security. Map providers may receive technical data needed to load map tiles or map services.
7. How long we keep data
Account records are kept while your account is active and for a reasonable period afterwards where needed for security, dispute, fraud prevention, moderation or legal reasons.
Listings, messages, reports and moderation records are kept for as long as needed to operate the service, deal with collection disputes, investigate misuse and meet legal obligations. We delete or anonymise data when it is no longer needed.
8. Your rights
You may have the right to ask for access to your personal data, correction, deletion, restriction, objection, portability and withdrawal of consent where consent is the lawful basis.
Some rights are limited where we need data to protect other users, investigate misuse, comply with law or establish, exercise or defend legal claims. You can complain to the Information Commissioner's Office if you are unhappy with how your data is handled.
9. Security
We use Firebase Authentication, Firestore security rules, Storage rules, protected admin routes, private location documents and limited public fields to reduce unnecessary exposure of personal data.
No online service can guarantee complete security. You should use a strong password, keep your account private and avoid sharing personal contact or payment details in messages.
10. Changes
We may update this notice as MyFreebies develops or where law, guidance, providers or features change. The latest version will be published on this page with the updated date.
